Bid Perfect is part of Group Perfect and provides bid support, bid training, bid consultancy, and bid graphics services, along with the Bid/No Bid App available for purchase through this website.
In this policy, “we”, “us”, and “our” refer to Bid Perfect (Bid Perfect Limited, registered in England and Wales under company number 6290269, registered office: 3 Toli Mill, Bradford Peverell, Dorset, DT2 9ST).
We are registered with the Information Commissioner’s Office (ICO) under registration number Z3621939 and are the data controller responsible for your personal data.
This policy explains what personal data we collect when you interact with us through bidperfect.com, what we do with it, who we share it with, and your rights under UK data protection law (the UK GDPR and the Data Protection Act 2018).

What personal data we collect
We collect personal data from you in the following ways:
Enquiry and contact forms
When you fill in a contact or enquiry form on bidperfect.com, we collect your name, email address, company name, phone number (if provided), and the content of your message.
Newsletter signup
If you sign up to receive our newsletter or marketing emails, we collect your name and email address.
Bid/No Bid App purchases
When you purchase access to the Bid/No Bid App (via WooCommerce on this site), we collect your name, billing address, email address, phone number, and the details of your purchase. Payment card details are entered directly into Stripe’s secure payment system and are not stored on our servers.
Training course bookings
When you book or pay for training courses, we collect the same booking details as above, plus any additional information needed to deliver the training (for example, dietary requirements or accessibility needs you choose to share with us).
Chat widget
We use Moneypenny to handle phone calls and live chat enquiries. If you use the chat widget on our site or call us, Moneypenny will collect the information you provide in the conversation, including your name, contact details, and the nature of your enquiry. They share this information with us so we can follow up.
Website analytics and cookies
We use Google Analytics to understand how visitors use our site. This involves collecting anonymous information about your visit such as pages viewed, time spent on pages, device type, and approximate geographic location based on IP address. HubSpot: our customer relationship management (CRM) and email marketing platform. We use HubSpot to manage enquiries, communicate with clients, send newsletters, and track interactions with our website.
Stripe: our payment processor for purchases made through the website. Stripe collects and processes your payment information directly under their own privacy policy.
WordPress and WooCommerce: the platform our website runs on. Customer and order data is stored in our website database, hosted by our web hosting provider.
Moneypenny: our outsourced call answering and live chat service.
Google: we use Google Analytics for website analytics, and Google services may be used for other operational purposes.
Microsoft 365: our email and document platform. Communications with us by email are stored in Microsoft 365.
We may also share your data with other companies within the Group Perfect family of brands for the purpose of providing our services and managing our relationship with you.
We may also share your data with our professional advisors (accountants, lawyers, auditors), with regulators or law enforcement where legally required, and with third parties in connection with a sale, merger, or restructuring of our business.
International data transfers
Some of the service providers listed above (notably HubSpot, Stripe, Google, and Microsoft) are based outside the UK and may transfer your data internationally, including to the United States. Where this happens, we rely on safeguards approved under UK data protection law, such as the UK International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, or adequacy decisions, to ensure your data is properly protected.
How long we keep your data
We keep your personal data only for as long as we need it for the purposes set out in this policy, or to comply with our legal obligations.
- Enquiry and contact form data: up to 24 months after our last contact with you, unless you become a client.
- Client and customer data: for the duration of our relationship with you, and for up to 7 years after the end of that relationship for accounting and legal reasons.
- Newsletter subscribers: until you unsubscribe, after which we retain a minimal record to ensure we honour your unsubscribe request.
- Website analytics data: in line with Google Analytics’ standard retention period (currently 14 months for event-level data).
Your rights
